Zoho Books bookkeeping service, done every working day.
You keep your Zoho Books organisation and your subscription. We join as an invited user and keep it up to date every UK working day: bank feeds matched and categorised, accounts reconciled, bills and expenses recorded, and missing paperwork followed up.
Daily bookkeeping in the Zoho Books you already use.
Zoho Books can bring in bank feeds, suggest matches and hold your bills, expenses and invoices in one place. It still needs someone to check each line, code it properly and chase what is missing. That is the part we take on, every UK working day.
BANK FEEDS AND RECONCILIATION
Every bank line matched or categorised.
Each working day we open the banking module for every connected bank and card account. Where Zoho Books offers a match to an invoice, bill or expense, we check the amount, date and contact before we accept it. Where there is no match, we categorise the line to the right account and VAT treatment, or find the document it belongs to.
We set up transaction rules for regular payments such as rent, software and bank charges, so routine lines are treated the same way every time. If a feed stops, or a statement needs importing instead, we tell you, because reconnecting a bank usually needs the account holder. Then we reconcile each account to its statement balance.

BILLS, EXPENSES AND RECEIPTS
Bills and receipts in. Matched to the payment.
Supplier invoices go into Zoho Books as bills, with the right account, VAT rate and due date, so your payables show what you really owe. Smaller card and cash purchases are recorded as expenses, with the receipt attached to the transaction.
With your permission, we also watch the finance inbox you agree with us for supplier invoices and receipts. Anything still missing at the end of the day goes on a short list, and we follow it up with you or the supplier in the way you choose. If you scan receipts yourself in Zoho Books, we check what has come through before it is matched.
SALES INVOICES AND CUSTOMER PAYMENTS
Customer payments allocated properly.
Many Zoho Books users raise their own quotes and invoices. We leave invoicing with you and match customer receipts against the right invoices, so your receivables stay accurate.
Part payments and combined payments are allocated to the invoices they cover, not left loose on the customer.
VAT AND MAKING TAX DIGITAL
Records ready for your VAT return.
Making Tax Digital for VAT means VAT records are kept digitally and the return is sent from compatible software. Zoho Books lets you sign up for MTD and file VAT returns to HMRC from inside the software. Clean records underneath are what make that step quick.
We code each transaction with the right VAT treatment as we go and flag anything that needs a decision, such as a mixed-use purchase. When the quarter ends, the bank accounts are reconciled and the VAT figures are ready to review. Whoever is responsible for filing, you or your accountant, can then check and submit the return. Preparing and filing the VAT return itself is outside the monthly packages and is quoted separately if you want us to do it.
REPORTING TAGS AND MONTH-END
Clear figures at the end of each month.
If you use reporting tags in Zoho Books, for example by location, department or project, we apply them as we record each transaction, so the reports you filter by tag stay useful.
At month-end we run a set of checks: every bank account reconciled to its statement balance, no old uncategorised items, payables and receivables reviewed, and anything we cannot place cleared or listed for you. You then get a short monthly financial summary, written in plain English, with any open questions.
ACCESS AND OWNERSHIP
You stay in charge of your Zoho Books.
Your Zoho Books subscription stays in your name, paid by you and separate from our fee. An admin in your organisation invites us as a user and chooses our role. Zoho Books has set roles such as Admin and Staff, and lets you create custom roles with different levels of access. You can change or remove our access at any time.
Your accountant can keep working in the same organisation for year-end accounts and tax. We agree who does what at the start, so nothing is done twice and nothing is missed.

BEHIND IN ZOHO BOOKS?
A backlog first, then the daily routine.
If your Zoho Books has months of uncategorised bank lines, duplicate transactions or bills that were never matched to payments, we review it first and agree a catch-up plan with a separate quote.
No. Your Zoho Books organisation and subscription stay yours. An admin invites us as a user, and you can change or remove our access at any time.
Will you file my VAT return through Zoho Books?
The monthly packages keep your VAT records accurate and ready for the return. Preparing and filing the VAT return is outside the packages and quoted separately.
Can my accountant still use the same Zoho Books?
Yes. Your accountant keeps working in the same organisation for year-end accounts and tax. We agree responsibilities with both of you at the start.
