A DESKTOP PACKAGE, HANDLED CAREFULLY

VT is desktop software.
Here is how we work in it.

Most bookkeeping tools now run in a browser. VT Transaction+ is installed on a Windows computer and keeps each business in its own data file.

ACCESS AGREED WITH YOU

One master file.
No drifting copies.

A single data file is simple to back up and simple to hand over. It also means a bookkeeper needs a clear, secure way to reach it.

Before we post a single entry, we agree with you how we will access your VT data securely. We do not pick a method for you. We agree one that suits your setup, your accountant and your own security rules, and we write down who holds the master copy.

  • Secure access agreed before work starts
  • One master copy of your VT file
  • Backups kept the way we agree

WHAT WE DO IN VT EACH DAY

The everyday entries,
posted properly.

VT uses short entry types. Using them the same way every time is what keeps your ledgers easy to read.

PIN, PAY, SIN, REC AND MORE

Every document,
posted as the right type.

  • PIN and PCR. Purchase invoices and credit notes on the supplier’s account, with net, VAT and the right nominal code.
  • SIN and SCR. Sales invoices and credit notes on customer accounts.
  • PAY and REC. Payments and receipts from the bank, matched to the invoices they settle.
  • Journals. Only where something needs moving, with a note for your accountant.

Some costs leave the bank with no invoice on the ledger. We agree once whether they go through the supplier account or straight to a cost, then post them that way every time.

BANK RECONCILIATION AND RECEIPTS

Bank accounts reconciled.
Paperwork matched.

Every working day we post new bank and card transactions from your statements or bank export files, depending on how your VT is set up. We then reconcile each account in VT, so your books agree with the bank.

With your permission, we monitor the finance inbox or folders you agree with us. Invoices and receipts are posted and matched to their payments. If you capture paperwork in Dext, Hubdoc or AutoEntry, we work from there. Missing items are followed up and tracked.

  • Bank and card accounts reconciled to the statement
  • Questions flagged while they are fresh

VAT, LEDGERS AND MONTH-END

Records your accountant
can pick straight up.

VAT-READY RECORDS

VAT checked on
every entry.

VT records VAT on each entry, so a VAT return is only as good as the postings behind it. We check the treatment as we go, taking care with reverse charge, receipts with no VAT shown, and fuel or entertaining.

Under Making Tax Digital for VAT, VAT-registered businesses keep digital records and send returns through compatible software. We keep your VT records reconciled so the return can be prepared from them. Submitting it is a statutory filing, outside the monthly packages and quoted separately if you want it.

LEDGERS AND MONTH-END

Clean ledgers.
A tidy month-end.

At month-end we review the supplier and customer ledgers. Old unpaid invoices, unallocated payments and duplicates are put right or raised with you.

You get a monthly financial summary in plain English: what came in, what went out and what needs a decision.

HANDOVER TO YOUR ACCOUNTANT

Passing the VT file on,
without the mix-ups.

A well-kept VT file is easy for your accountant to pick up for year-end work. We agree with you and your accountant when and how it is passed over. Once a period is handed over, we stop posting to it, so nobody works on an old copy.

BEHIND ON THE BOOKS?

We can start
with the backlog.

If your VT file is months behind, we review what needs catching up first. Catch-up work is quoted separately, then we keep the file moving every working day.

VT BOOKKEEPING QUESTIONS

VT bookkeeping,
made clearer.

Have another question?
We’re here to help →

Do you work in VT Cash Book as well as VT Transaction+?

Yes. We work in whichever VT product you already use. VT Cash Book is the simpler of the two, while VT Transaction+ keeps supplier and customer ledgers. If you are thinking of moving from one to the other, we can talk it through with you and your accountant.

VT is on our office computer. How do you reach the file?

We agree a secure way to access your VT data with you before any work starts. The method depends on your setup and your accountant. Whatever we agree, we write down who holds the master copy, so there is only ever one live version of your books.

Do I need to change software or accountant?

No. You keep VT and you keep your accountant. We do the day-to-day bookkeeping in your existing file and agree how it is handed over for year-end accounts and tax work.

Do you submit our VAT return?

The monthly packages cover keeping VAT-ready records in VT, reconciled and checked. Submitting the VAT return is a statutory filing, so it is outside the packages. Your accountant can carry on submitting it, or we can quote for it separately.

How much does VT bookkeeping cost?

Essentials is £295 per month for annual turnover up to £150,000. Plus is £495 per month for £150,000 to £500,000. Managed is £795 per month for £500,000 to £5 million. These bands are a starting guide. We review your records and workload, then agree a fixed monthly fee, confirmed in your quote.

We use other software as well as VT. Can you help?

Yes. We also work in Xero, QuickBooks, Sage, FreeAgent and others, and with Dext, Hubdoc and AutoEntry for receipts. See our Xero bookkeeping service and Sage bookkeeping service pages.
