Months behind on the books, with a VAT return, year end or accountant deadline coming? We bring your records up to date in the software you already use, oldest month first. Then we keep them moving every UK working day.
Why businesses fall behind, and why it matters now.
Most backlogs start the same way. A busy quarter, a bookkeeper who left, or a new bank account nobody connected. A few weeks of unmatched transactions turn into a few months. By then, the bank feed holds hundreds of lines with no receipts behind them.
A backlog usually only becomes urgent when a date arrives. The most common ones are:
A VAT return due, with a quarter of purchases still unrecorded
A year end, where your accountant needs a full year of reconciled records
An accountant asking for books by a set date so they can prepare accounts or a tax return
A lender, buyer or new investor asking for up-to-date figures
Simply not knowing what cash is really in the business
Catch-up bookkeeping is the work of bringing those records level again. It is a one-off piece of work with a clear finish line: every bank and card account reconciled up to an agreed date, and a clear list of anything still missing.
HOW CATCH-UP BOOKKEEPING WORKS
Five steps from behind to up to date.
We work in your existing software from start to finish. You don’t move systems, and your accountant sees the same books they know.
01
Gather everything in one place.
We collect bank and card statements for the whole period, plus receipts and invoices from your receipt tool, shared folders and the finance inbox you agree we can access. If a bank feed has dropped, we use statements to fill the gap.
WHAT WE GATHER
✓Bank and card statements
✓Receipts and invoices
✓Agreed finance inbox
02
Reconcile oldest first.
We start with the earliest month and work forward. Each month is reconciled to the statement balance before we move on, so errors don’t carry into later periods. Sales and purchases are recorded and transactions are categorised as we go.
ONE MONTH AT A TIME
✓Opening balance agreed
✓Transactions matched
✓Closing balance ties to statement
03
List what’s missing.
Some payments will have no receipt and some income won’t be clear. We keep one list of open items, each with the date and amount, and follow up with the person you agree we can contact. You answer questions in one go, not one email at a time.
OPEN ITEMS
↗Missing receipts requested
↗Unclear payments queried
04
Hand over clean records.
When the agreed period is reconciled, you get a short summary: which accounts are up to date, to what date, and what is still outstanding. Your accountant can then work from the books directly for the VAT return, year end or accounts.
THE HANDOVER
✓Accounts reconciled to date
✓Outstanding items listed
05
Move onto daily bookkeeping.
Once you’re level, we can keep you there. Our monthly service picks up new transactions every UK working day, so the backlog doesn’t build up again.
THE DAILY ROUTINE
✓Paperwork gathered
✓Books updated
WHAT A CATCH-UP COVERS
How the work runs inside your software.
The details differ between packages, but the work is the same in Xero, QuickBooks, Sage, FreeAgent, VT Transaction+ and the rest.
Bank feeds. Where your software has bank feeds, we check each one is connected and complete for the period. Where lines are missing or duplicated, we use the statement as the source.
Bank rules. Regular payments like rent, software subscriptions and bank charges are set up as rules where your software allows, so they are coded the same way every time.
Receipt capture. Receipts from Dext, Hubdoc, AutoEntry or your inbox are matched to the payment they belong to, so each cost has its paperwork attached.
Reconciliation. Each account is reconciled month by month until the software balance agrees with the bank statement.
VAT-ready records. Purchases and sales are recorded with the VAT treatment shown on the invoice, so the figures for each VAT quarter can be checked.
Month-end. We review supplier and customer balances, look for duplicates and flag anything that looks out of place.
If you’re VAT registered, Making Tax Digital for VAT means your records need to be kept digitally and the return sent through compatible software. A catch-up gets those digital records complete so the return can be prepared from them. Filing the VAT return itself is separate from our bookkeeping, and is quoted separately if you need it.
Every backlog is different. Six months of a quiet sole trader is not the same as a year of a busy limited company with three bank accounts. So we look at the backlog first: how many months, how many accounts, how many transactions and how much paperwork is already there. Then we give you one fixed price for the catch-up. There is no hourly billing.
Catch-up work sits outside the monthly packages. Tax returns, payroll and statutory filings are outside them too, and are quoted separately.
Use your annual turnover to find your starting point. We’ll look at how your business works, then agree one fixed monthly price, confirmed in your quote.
FOR SMALL BUSINESSES
Essentials
ANNUAL TURNOVERUp to £150,000
Daily bookkeeping for sole traders, consultants and small businesses who want their time back.
Turnover above £5 million? We’ll put together a tailored quote. Each package covers one business entity, and your software subscription stays your own. Full pricing details →
We can look at any backlog, whether it’s a few weeks or more than a year. The size of the backlog mainly changes the quote. We’ll agree the period to cover before we start.
Do I need to change software?
No. We do the catch-up in the software you already use, such as Xero, QuickBooks, Sage, FreeAgent or VT Transaction+. If you use Dext, Hubdoc or AutoEntry for receipts, we work with those too.
What if I’ve lost receipts?
That’s common. We list every payment without paperwork and follow up on what can be found, for example from supplier portals or old emails. Anything still missing is clearly flagged in the handover so you and your accountant can decide how to treat it.
How much does catch-up bookkeeping cost?
It’s a separate fixed quote, given after we’ve looked at the backlog. It depends on the number of months, accounts and transactions. Ongoing daily bookkeeping is then £295, £495 or £795 per month depending on turnover, with the final fee confirmed in your quote.
Will you file my VAT return or accounts?
Our service is bookkeeping. Tax returns, statutory filings and payroll are outside the monthly packages and quoted separately. You can keep your existing accountant, who works from the records we bring up to date.
