You keep your Xero organisation and your subscription. We join as an invited user and keep it up to date every UK working day: bank feeds reconciled, receipts matched, bills and sales invoices recorded, and missing paperwork followed up.
Xero does a lot on its own. Bank lines arrive through the feed, suggested matches appear and receipts can flow in from Hubdoc or Dext. It still needs someone to check each line, code it properly and chase what is missing. That is the part we take on.
BANK FEEDS AND RECONCILIATION
Every bank line checked. Not just accepted.
Each working day we open the reconciliation screen for every connected bank and card account. Where Xero suggests a match to an invoice or bill, we check the amount, date and contact before we click OK. Where there is no match, we code the line to the right account and VAT rate, or find the document it belongs to.
We set up and tidy bank rules for regular payments such as rent, software and bank charges, so routine lines are coded the same way every time. If a feed stops or needs reauthorising, we tell you, because that step usually needs the account holder.

RECEIPTS, HUBDOC AND DEXT
Receipts in. Matched to the payment.
If you use Hubdoc or Dext, we review what they have read from each receipt and invoice before it is published to Xero. We check the supplier, date, net amount and VAT, then match it to the bank line. If you do not use a capture tool, we attach documents to the transaction in Xero directly.
With your permission, we also watch the finance inbox you agree with us for supplier invoices and receipts. Anything missing at the end of the day goes on a short list, and we follow it up with you or the supplier in the way you choose.

BILLS AND SALES INVOICES
Bills and invoices recorded properly.
Supplier bills go into Xero as bills, with the right account code, VAT rate and due date, so your aged payables report shows what you really owe.
On the sales side, we record invoices where you ask us to, and match customer payments against them so aged receivables stays accurate. Part payments and combined payments are allocated correctly, not left loose on the account.
VAT AND MAKING TAX DIGITAL
Records ready for your VAT return.
Making Tax Digital for VAT means records are kept digitally and the return is sent from compatible software, such as Xero. Clean records underneath make the return quick.
We code each transaction with the right VAT rate as we go: standard, reduced, zero-rated, exempt or no VAT. We flag anything that needs a decision, such as a mixed-use purchase. When the quarter ends, the books are reconciled and the VAT figures are ready to review. Whoever is responsible for filing, you or your accountant, can then check and submit the return in Xero. Preparing and filing the VAT return itself is outside the monthly packages and is quoted separately if you want us to do it.
TRACKING CATEGORIES AND MONTH-END
Clear figures at the end of each month.
If you use tracking categories in Xero, for example by site, department or project, we apply them as we code each line.
At month-end we run a set of checks: every bank account reconciled to its statement balance, no old unreconciled items, aged payables and receivables reviewed, suspense and unknown items cleared or listed for you. You then get a short monthly financial summary, written in plain English, with any open questions. If your accountant uses lock dates in Xero, we work to them.
ACCESS AND OWNERSHIP
You stay in charge of your Xero.
Your Xero subscription stays in your name, paid by you and separate from our fee. You invite us as a user, choose the access level and can remove it at any time.
Your accountant can keep working in the same organisation for year-end accounts and tax. We agree who does what at the start, so nothing is done twice and nothing is missed.

BEHIND IN XERO?
A backlog first, then the daily routine.
If your Xero has months of unreconciled lines, duplicate transactions or old items sitting in suspense, we review it first and agree a catch-up plan with a separate quote.
No. Your Xero organisation and subscription stay yours. You invite us as a user, and you can change or remove our access at any time.
Do you work with Hubdoc and Dext?
Yes. We review what Hubdoc or Dext has read from each document, correct anything that is wrong, and publish it to Xero so it matches the bank line. If you do not use either, we attach documents in Xero directly.
Will you file my VAT return through Xero?
The monthly packages keep your VAT records accurate and ready for the return. Preparing and filing the VAT return is outside the packages and quoted separately.
Can my accountant still use the same Xero?
Yes. Your accountant keeps working in the same organisation for year-end accounts and tax. We agree responsibilities with both of you at the start.
