How we look after your data.
We do your bookkeeping inside the software you already use. You decide what we can see, and you can remove our access at any time. This page explains what we see, where data goes and what happens if you leave.

ACCESS TO YOUR SOFTWARE
We work as an invited
user in your software.
Your accounting software stays in your name, on your subscription. You invite us in as a user, the same way you might invite an accountant or a member of staff. Your records stay where they are.
Where your software supports invited users, you never need to share your own login or password with us. If a tool does not support invited users, we will talk it through with you on the call before anything is set up.
- You control the access. Our user shows in your software’s settings, next to your own. Where your software offers access levels, you choose which one we get.
- You can remove it at any time. Taking our user out of your software ends our access straight away. You do not need to ask us first.
- Our own login. We sign in as ourselves, so your software can tell our work apart from yours.
YOUR FINANCE INBOX
Inbox checks only
with your permission.
Finance inbox monitoring is part of every plan, but it only happens if you authorise it. We check the inbox or folders you agree with us for supplier invoices and receipts. We do not look anywhere else.
You can change which inbox we check, or stop inbox checks altogether, at any time. The rest of your bookkeeping carries on in your software.
BOOKING A CALL
What happens to your
details when you book.
When you book a free call on this website, we ask for your name, email, phone number, the software you use, an optional note and the date and time you choose.
We store these details in a private database with our hosting provider. We use them to arrange your call: to create a calendar invite with a Google Meet link and to email you a confirmation from [email protected]. The same details go into the calendar invite and an email to our team, so we can prepare for the call.
Our web server does not keep logs of your visits, and this website does not use analytics or advertising cookies.

WHO HANDLES DATA FOR US
The services behind
this website.
We use a small number of services to run this website and book calls.
- Railway. Hosts the website and the database that stores call bookings.
- Cloudflare. Serves the website to your browser. The website is served over HTTPS.
- Google Workspace. Runs our email and calendar. Confirmation emails, calendar invites and Google Meet links come from here.
- Your own software. Your bookkeeping records stay in your accounting software, under your account.
IF YOU LEAVE
What happens
when you leave.
Your records are already in your own software, so there is nothing to hand back or move. Everything we did stays there for you or your next bookkeeper.
- We remove our user from your software
- We stop checking your finance inbox
- You can also remove our access yourself at any time
If you would like to check that our access has gone, look at the users list in your software’s settings.
Do I need to give you my password?
No, not where your software supports invited users. You invite us as a user and we sign in with our own login.
Can I remove your access?
Yes. Remove our user from your software at any time and our access ends. You can stop inbox checks at any time too.
Do you move my records into another system?
No. We work in your existing software, so your records stay there.
Does this website track me?
No. There are no analytics or advertising cookies on this website, and our server does not log your visits.
