HOW THE WORK RUNS IN KASHFLOW

Daily bookkeeping in the KashFlow you already use.

KashFlow, now sold as IRIS KashFlow, gives you bank feeds, receipt capture, invoicing and online VAT returns. The software holds the records. Someone still has to check each bank line, record each purchase and chase what is missing. That is the part a KashFlow bookkeeper takes on.

BANK FEEDS AND RECONCILIATION

Every bank line checked.
Not just accepted.

Your bank feeds bring transactions into KashFlow. Each working day we go through the new lines on every connected account. We match customer receipts to sales invoices and supplier payments to purchases already recorded. Lines with nothing to match are coded to the right nominal code and VAT rate.

Transfers between your own accounts, loan repayments and owner drawings are treated as what they are, not as income or costs. Anything we cannot identify goes on a short list for you, rather than into a guess. If a feed stops updating, we tell you, because reconnecting it usually needs the account holder.

PURCHASES, RECEIPTS AND EXPENSES

Paperwork in.
Matched to the payment.

Supplier invoices and receipts arrive by email, on paper and through photos on your phone. KashFlow includes receipt capture, so documents can sit with the records they belong to. We record each purchase with the right supplier, date, nominal code and VAT amount, then match it to the payment in the bank.

With your permission, we also check the finance inbox you agree with us. If a payment has no invoice or receipt behind it, we follow it up with you or the supplier, in the way you choose. Already using Dext to collect receipts? We work with that too. See our Dext bookkeeping service.

  • Purchases recorded with supplier, code and VAT
  • Receipts kept with the matching transaction
  • Missing invoices and receipts followed up

SALES INVOICES AND CUSTOMERS

Who owes you,
shown correctly.

KashFlow lets you send quotes and invoices, and set up repeat invoices. If you raise invoices yourself, we match each customer payment to the right invoice. Part payments and one payment covering several invoices are allocated properly, so nothing is left loose on the account.

That keeps your list of unpaid customer invoices accurate. You can see who is late without second-guessing the figures. Raising sales invoices is not part of the monthly packages; we can quote for it separately.

VAT AND MAKING TAX DIGITAL

Records ready
for your VAT return.

Under Making Tax Digital for VAT, VAT-registered businesses keep digital records and send returns from compatible software. KashFlow lets you manage and submit VAT online. The return is only as good as the records behind it.

We code each transaction with the right VAT rate as we go. We flag anything that needs a decision, such as a mixed business and personal purchase. If you work in construction, KashFlow supports the domestic reverse charge for CIS work, and we apply it to the purchases and sales it covers. When the quarter ends, the books are reconciled and ready for whoever files to check and submit. Preparing and filing the VAT return is outside the monthly packages and quoted separately. So are CIS returns.

MONTH-END CHECKS

Clear figures
at the end of each month.

At month-end we check that each bank account in KashFlow agrees with its statement balance. We review unpaid customer invoices and unpaid purchases, and clear or list anything still unexplained.

You then get a short monthly financial summary in plain English, with any open questions. KashFlow has a wide set of reports, so you and your accountant can look deeper whenever you need to. Want to know what a reconciliation actually proves? Read our guide on what bank reconciliation is.

ACCESS AND OWNERSHIP

You stay in charge
of your KashFlow.

Your KashFlow subscription stays in your name, paid by you and separate from our fee. On a multi-user plan, you add us as an additional user from your account settings and choose our role. KashFlow also has an accountant access setting. We agree on the call which route fits your plan. We never ask for your password, and you can remove our access at any time.

Your accountant can keep working in the same account for year-end accounts and tax. We agree who does what at the start, so nothing is done twice and nothing is missed.

BEHIND IN KASHFLOW?

A backlog first,
then the daily routine.

If your KashFlow has months of unreconciled bank lines, duplicate entries or purchases with no paperwork, we review it first and agree a catch-up plan with a separate quote. Once it is current, the daily routine keeps it that way.
