HOW THE WORK RUNS IN CLEAR BOOKS

Daily bookkeeping in the Clear Books you already use.

Clear Books brings in a lot of the raw material for you. Bank feeds import your transactions, Auto Explain matches payments to invoices, and the Auto Bills add-on reads receipts you upload, snap or forward. Someone still has to check each suggestion and chase what is missing. That is the work we take on.

BANK FEEDS AND RECONCILIATION

Every bank line explained.
Not just accepted.

Each working day we work through the new transactions on every bank and card account connected to Clear Books. Where Auto Explain matches a payment to an invoice or bill, we check the amount, date and customer or supplier before we accept it. Where there is no match, we explain the line to the right account and VAT rate.

For regular payments such as rent, software and bank charges, we set up allocation rules so routine lines are explained the same way each time. If a bank feed stops, we tell you, because reconnecting usually needs the account holder.

  • Bank and card accounts worked through each working day
  • Allocation rules set up and kept tidy
  • Unknown payments listed and asked about

RECEIPTS, BILLS AND AUTO BILLS

Receipts in.
Checked and matched.

With the Auto Bills add-on, you can snap a receipt on your phone, upload a file or forward an email, and Clear Books pre-fills a record from it. We check each one before it is saved: supplier, date, invoice number, net amount and VAT. Then we match it to the bank payment.

Supplier bills go in as bills, with the right account code, VAT rate and due date. With your permission, we also watch the finance inbox you agree with us for invoices and receipts. Anything still missing at the end of the day goes on a short list, and we follow it up with you or the supplier in the way you prefer.

SALES INVOICES AND PAYMENTS

Customer payments
allocated properly.

If you raise invoices in Clear Books, we match customer payments against them as they land in the bank. Part payments and single payments that cover several invoices are allocated correctly, not left as loose money on the account. That keeps your list of who owes you money accurate.

VAT AND MAKING TAX DIGITAL

Records ready
for your VAT return.

Making Tax Digital for VAT means keeping records digitally and sending returns through compatible software. Clear Books says it can prepare an MTD VAT return and submit it directly to HMRC on its Medium and Large plans.

We code each transaction with the right VAT rate as we go and flag anything that needs a decision. If you use the Flat Rate Scheme or cash accounting, we keep the records in line with how your account is set up. When the quarter ends, the books are reconciled and the VAT figures are ready to review. Whoever is responsible for filing, you or your accountant, can then check and submit. Preparing and filing the VAT return itself is outside the monthly packages and is quoted separately.

PROJECTS AND MONTH-END

Clear figures
at the end of each month.

If your plan includes projects for cost centres or departments, we tag income and costs to them as we explain each line.

At month-end we run a set of checks: each bank account reconciled to its statement balance, no old unexplained items, money owed to and by you reviewed, and anything we cannot place listed for you. You then get a short monthly financial summary in plain English, with any open questions.

ACCESS AND OWNERSHIP

You stay in charge
of your Clear Books.

Your Clear Books subscription stays in your name, paid by you and separate from our fee. Clear Books supports multiple users with customisable permissions, so you add us as a user, decide what we can see and do, and can remove that access at any time.

If your accountant already works in your account, they can carry on. We agree who does what at the start.

A backlog first,
then the daily routine.

If your Clear Books has months of unexplained bank lines, duplicate entries or receipts that were never matched, we review it first and agree a catch-up plan with a separate quote.

CLEAR BOOKS BOOKKEEPING QUESTIONS

Questions about
a Clear Books bookkeeper.

Have another question?
Get in touch →

Do I need to move my Clear Books account to you?

No. Your Clear Books account and subscription stay yours. You add us as a user, set what we can access, and can change or remove that access at any time.

Do you use Auto Bills and the receipt app?

Yes, if they are part of your setup. We review each draft Auto Bills prepares, correct anything that is wrong and match it to the bank payment. If you prefer to send paperwork by email, we can work from your finance inbox instead.

Will you file my VAT return through Clear Books?

The monthly packages keep your VAT records accurate and ready for the return. Preparing and filing the VAT return is outside the packages and quoted separately.

Can my accountant still use the same Clear Books account?

Yes. Your accountant keeps working in the same account for year-end accounts and tax. We agree responsibilities with both of you at the start.

How much does a Clear Books bookkeeper cost?

Essentials is £295 per month for turnover up to £150,000, Plus is £495 for £150,000–£500,000, and Managed is £795 for £500,000–£5 million. We review your records and workload, then confirm a fixed monthly fee in your quote.

Do you work in other software as well?

Yes. We also work in Xero, QuickBooks, Sage, FreeAgent and others. See our FreeAgent bookkeeper and Xero bookkeeping service pages.
