AUTOENTRY BOOKKEEPING SERVICE · UK

An AutoEntry bookkeeper for your receipts and invoices, every working day.

AutoEntry reads your receipts, invoices and statements. Someone still has to check what it read, publish it to your books and match it to the bank. We do that in your existing AutoEntry account every UK working day, so your records stay current.

HOW AUTOENTRY RECEIPT PROCESSING RUNS

Daily receipt processing in the AutoEntry you already use.

AutoEntry is a data capture tool from Sage. It pulls the details out of receipts, invoices and statements, suggests suppliers and VAT codes, and publishes the results to your accounting software. It does not decide whether a receipt is business or personal, spot a missing invoice or reconcile your bank. That is the part we take on.

GETTING PAPERWORK IN

Every route in.
Checked each working day.

Paperwork reaches AutoEntry in three main ways. You or your team snap receipts in the AutoEntry mobile app. Suppliers and staff email documents to your company’s own AutoEntry email address, or forward them from another inbox. Files can also be uploaded from a desktop.

We watch all of these routes. With your permission, we also monitor the finance inbox you agree with us and forward supplier invoices into AutoEntry, so nothing sits unread in email.

  • Mobile app uploads reviewed each working day
  • AutoEntry email address and finance inbox kept in step
  • Duplicate and unreadable images picked up early

REVIEW BEFORE PUBLISHING

What AutoEntry read.
Checked by a person.

Before anything is published, we open each item and check it against the image. Supplier name, date, invoice number, net amount, VAT and total. AutoEntry suggests suppliers and VAT codes and learns from past choices, so we make sure those suggestions are right for your business and correct them when they are not.

Where you need the detail, AutoEntry can capture line items from purchase and sales invoices. We use that when one bill mixes different costs. Receipts without proper VAT details are coded without reclaiming VAT.

  • Supplier, dates and amounts checked against the image
  • Account codes and VAT codes set for your business
  • Line items used where one bill covers different costs

PUBLISHING AND BANK MATCHING

Published to your books.
Matched to the bank.

Once an item is checked, we publish it from AutoEntry to your accounting software. AutoEntry works with Xero, Sage and QuickBooks, as well as FreeAgent, KashFlow and Clear Books. Supplier invoices go in as bills where your software supports it.

Then we finish the job in the accounting software itself. We reconcile your bank and card accounts each working day and match every card payment and direct debit to its published receipt or bill. A bank line with no document behind it goes on a short missing list, and we follow it up with you or the supplier in the way you choose.

What is bank reconciliation?

BANK AND SUPPLIER STATEMENTS

Statements turned
into usable data.

AutoEntry can also read bank statements and supplier statements. That helps when an account has no bank feed. We check the extracted lines against the opening and closing balances on the statement before anything goes into your books, so a missed line shows up straight away.

Supplier statements are a useful check too. We compare them with the bills already published. If a supplier lists an invoice we have not seen, it goes on the missing list. A statement line is not a VAT invoice, so we ask for the original before VAT is reclaimed on it.

VAT AND MAKING TAX DIGITAL

Records ready
for your VAT return.

Making Tax Digital for VAT means keeping digital records and sending the return from compatible software. AutoEntry captures the documents. Your accounting software holds the records.

We code each item with the right VAT rate as we go, and flag anything that needs a decision, such as a purchase used partly for personal reasons. When the quarter ends, the bank is reconciled and the VAT figures are ready to review. Whoever files, you or your accountant, can then check and submit. Preparing and submitting the VAT return is outside the monthly packages and is quoted separately if you want us to do it.

ACCESS AND OWNERSHIP

You keep your AutoEntry
and your software.

Your AutoEntry account and your accounting software stay in your name, and you pay for them directly, separate from our fee. AutoEntry plans include unlimited users, so you add us as a user and can remove us at any time. We do the same in your accounting software where it supports invited users.

Your accountant can keep working in the same books for year-end accounts and tax. We agree who does what at the start, so nothing is done twice and nothing is missed.

BEHIND ON RECEIPTS?

A backlog first,
then the daily routine.

If AutoEntry has months of unchecked items, or your bank has a long list of unreconciled lines, we review it first and agree a catch-up plan with a separate quote.
